Field Note
Monthly Dashboard Refresh Checklist for Internal Analysts
Handover sessions cover the theory. This checklist covers the first Monday of each month — the routine our clients follow to keep dashboards trustworthy without calling us back.
Step 1 — Export freshness. Confirm each source export covers the full prior calendar month with no partial-day truncation. GA4 BigQuery exports and Naver bulk downloads have different cutoff times; note the export timestamp in your log.
Step 2 — Row count reconciliation. Compare row counts against the prior month baseline. A sudden 40% drop usually means a broken filter, not a business event. Flag anything beyond 20% variance before refreshing visuals.
Step 3 — New campaign mapping. Any campaign launched mid-month needs a channel assignment in the mapping table before refresh. Unmapped campaigns appear in "Uncategorised" — a tile that should always read zero.
Step 4 — Credit rule verification. If you changed a lookback window or added a channel, re-run the test conversion set (we provide five anonymised test cases with expected outputs). All five must match before publishing.
Step 5 — Stakeholder publish. Send the PDF snapshot and live dashboard link together. The PDF prevents "which number is correct" debates when someone screenshots an old cached view.
Analysts who skip step two publish dashboards that look updated but contain stale segments. That is the most common post-handover issue we diagnose in follow-up sessions — and the cheapest to prevent.
